Draft — not yet approved. This notice must be reviewed by the community council, and every square-bracketed detail filled in, before the site goes live. Sections describing bookings, the newsletter and the forum only take effect once those features are switched on.

This notice explains what personal information Auchencairn Community Council collects through this website, why we collect it, and what we do with it.

Who we are

Auchencairn Community Council is the data controller for information collected through this website. You can contact us at [email address to be confirmed] or [postal address to be confirmed].

What we collect and why

We only collect information we actually need, and we tell you what it is for at the point we ask for it.

  • Contact form — your name, email address and message, so a councillor can reply to you.
  • Newsletter — your email address, so we can send you the village newsletter. You must confirm your subscription by clicking a link in an email before we send you anything, and you can unsubscribe from any newsletter we send.
  • Venue hire — your name, contact details and booking details, so we can manage the booking and take payment.
  • Event tickets — your name, contact details and ticket details, so we can admit you to the event.
  • Forum — the username, email address and posts you choose to submit.

We do not use tracking or advertising cookies, and we do not sell or rent your information to anyone.

Our lawful basis

For newsletters we rely on your consent, which you give by confirming your subscription and can withdraw at any time. For bookings and tickets we rely on the contract between you and the council. For general enquiries we rely on our legitimate interest in responding to residents.

Who we share it with

We use a small number of services to run this website. They only receive what they need to do their job:

  • [Payment provider] — processes card payments for bookings and tickets. We never see or store your full card details.
  • [Email provider] — sends the newsletter and confirmation emails.
  • [Hosting provider] — stores the website and its database.

We do not transfer your information outside the UK except where one of these providers does so under an approved safeguard. [To be confirmed once providers are chosen.]

How long we keep it

Newsletter subscriptions are kept until you unsubscribe. Booking and ticket records are kept for [period] for accounting purposes. Enquiries are kept for [period]. Forum posts remain until you or a moderator remove them.

Your rights

You have the right to ask us for a copy of the information we hold about you, to have it corrected or deleted, to object to how we use it, and to withdraw consent at any time. Contact us at [email address to be confirmed] and we will respond within one month.

Cookies

This website sets a small number of cookies that are necessary for it to work — for example to keep you logged in if you have an account. [To be completed once the booking, newsletter and forum features are switched on, listing any cookies they add.]

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO).
